The central registry functions at Glyndŵr University comprise

Each of the above areas functions as a separate unit but also works together and with other central units to provide central support to the University, its staff and students.

The main functions of the central registry are: 

  • Student registration and student progression monitoring and reporting; cohort analysis reporting, graduation ceremonies
  • The University’s regulatory framework; assessment administration;
  • Quality assurance procedures and support, including programme validation, audits and quality assurance and support for collaborative work
  • Research student administration and support;
  • Secretariat functions
  • Student support services including guidance, counselling, financial and hardship advice and disability support; student complaints and appeals;
  • Administration of legislative requirements, including Criminal R. Bureau requirements, Freedom of Information and Data protection requirements

The central units each have their own Head and are overseen by the Academic Registrar.

What follows is a description of departments at Glyndŵr University responsible for a range of programme administration functions, including the Awards Days, Student Policies and Procedures and managing the Student Records System. The Academic Office

The Academic Office oversees the quality assurance within the University. It provides a range of services to support  the maintenance of the quality and standards of academic programmes, including the development and maintenance of a range of  policies and procedures. These policies and procedures are set out in the Academic Quality Handbook 2009-10.In addition the Academic Office oversees the procedures for student complaints; suitability for practice procedures; student representation, graduation ceremonies and academic awards; accreditation of prior and experiential learning.

Student Programmes Office (SPO)

This is where your student records are held. You should come up to SPO if you need to inform us:

  • of changes to your name, address or other contact details
  • of changes to your study, including change of modules, change of mode of attendance (Full Time to Part Time or vice versa), or change of programme.
  • that you are suspending your studies for any length of time or that you wish to withdraw from your programme (you must discuss these options with your programme tutor before you come to SPO).

The Student Programmes Office can also find out your student number if you have lost it.

Assessment Results

Although SPO holds central records of student assessments, notification of assessments and transcript of results will come from your School Office after an assessment board meeting has agreed the results. If you have a query about your results you should contact your School Office in the first instance.

Certificates

If you are eligible for a certificate on completion of your course, Registry Services will organise for this to be provided.

Diploma Supplement

On completion of an undergraduate programme you may be entitled to a Diploma Supplement: SPO will organise and send this to you.

Student Loans

SPO informs the Student Loans Company (SLC) of your attendance at Glyndŵr University to ensure that any fee and maintenance loans are correctly paid. SPO will also liaise with your LEA to ensure that the correct payments are made for loans and grants.

When you enrol on your programme, SPO will inform the Student Loan Company that you will have started your programme. The payment will then be made directly into your account usually within 3-5 working days. If you withdraw from your programme or suspend your studies then the SLC will be informed of your withdrawal by SPO (via your LEA). It is extremely important that you advise your programme leader or School Office as soon as you have decided to withdraw: delays in notifying the SLC and your LEA may cause problems in rectifying your fees and loans and could cause short-term financial hardship.

Note that management of hardship funds is managed by Student Services Office. For information on hardship funds visit the Student Services web pages.

Please note, SLC payments cannot be made in advance of your programme start date.

Attendance confirmation/Reference Letters

If you require a letter confirming your enrolment in order to open a Bank Account (or similar) then please contact your School Office. For former students, SPO may be approached to organise letters of reference confirming your student details (programme, start date and address).

Data Protection

Enquiries regarding data protection issues are dealt with within the Student Programmes Office.

Enrolment Receipts

Should you require a printout of your enrolment receipt for any reason, you can now print this out yourself. Please use the following link from the student Intranet Home page:

Students/check your student record/(login here)/choose your course/enrolment/access and print enrolment receipt/(login here again)/print.

Your enrolment receipt will normally be available to print by 9am the day after you have enrolled.

Academic Regulations
As a student you are bound to abide by the Regulations in full. It is, therefore, important that you take some time to familiarise yourself with these Regulations.The link above will take you to the complete Academic Regulations for the current Academic Year.We have produced a series of guides to the regulations and these are available from your School Office.The Regulations also include the procedure for Academic Misconduct, which includes plagiarism, cheating in exams etc. Within the regulations there is also a procedure for requesting a review of assessment board decisions if you think that your results are incorrect or a mistake has been made with regard to your award or progression.

Any queries/ problems relating to assessment and examinations
Registry Services is responsible for the organisation of examinations and the preparation of the examination timetable. The Examination timetable will be published on the student support services web pages approximately 4 weeks prior to the start of the examinations. The main examination periods are the last teaching week of the first Semester and two weeks in May. Depending on your Programme there may be exams at other times of the year.

BTEC administration
Glyndŵr University is a licensed centre for EdExcel BTEC awards. Registry Services are responsible for managing the licence arrangements which include registering you with EdExcel and producing certificates for successful students.

Timetabling
Programme and Module timetables are produced by the Faculty Registrars and published on the internet. The above link will take you to the relevant timetables. Queries regarding your timetable should be directed to your Programme Leader.

Student Services

Student Services at Glyndŵr University provides support, advice and guidance on a range of issues to assist students in their academic and personal life.  Student Services operates on a Team approach based on specific areas of support these are; Welfare and Finance, Disability and Learning Support and Counselling. Student Services also incorporates the Assessment Centre@Glyndŵr University and the Irlen Centre@Glyndŵr University which provide on site assessment by qualified assessors and diagnosticians to identify and recommend additional support needs.

We operate both appointments and drop-in surgeries and appointments can be made outside usual office hours. Further information can be obtained from individual web pages.

Welfare and Finance Team

Welfare Advice and Finance Team offers confidential one-to-one interviews to support and guide current and prospective students on a range of welfare, provide information and advice about financial assistance for students and offer advice and guidance about money matters including Student Loans, Childcare grant, Assembly Learning Grant, Higher Education Grant, Financial Contingency Fund, Emergency Loan Fund, NHS Bursary funding, Social Work Bursary funding.

  • Our room is available as a resource centre to access/download information and advice on issues related to student welfare in a quiet, friendly atmosphere.
  • We also have access to the Citizens Advice Bureau’s electronic advice system which covers just about everything.

Disability and Learning Support Team

The Disability and Learning Support Team is able to offer a range of services to help you right from the point you choose to disclose a disability or learning difference.  Our Disability Adviser offers appointments if you wish to discuss any issues relating to learning support or disability, informally and in confidence. 

We can arrange:

  • assistance with Disabled Student Allowance (DSA) applications
  • on-going support, such as one-to-one dyslexia tutoring, or IT support
  • assistive equipment to meet your needs
  • non-medical helper support, such as note-takers
  • individual exams and assessment needs
  • assessments of Learning Support Needs

Counselling

Individual Counselling for a variety of personal issues which may be impacting on your life. Liaison with external support services Workshops and group work.
